Accountant & Office Manager

We are seeking a proactive and detail-oriented Accountant & Office Manager to join our team. This dual-role position is essential for ensuring smooth daily office operations in Krakow and providing comprehensive accounting and compliance support for our contractors operating under Polish legislation.

Key Responsibilities:

1. Accounting and Compliance Support (Focus on Polish Contractors)

  • Provide end-to-end accounting services for individual contractors (B2B) registered in Poland (up to 30 people).
  • Responsibilities include B2B registration processes, income tracking and accounting, preparing and filing tax reports, calculating tax liabilities, and monitoring tax payments.
  • Offer expert consultation on Polish tax and compliance matters for contractors.

2. Office Management and Administration

  • Manage the daily operations and administration of the office, including organizing employee office visits and access.
  • Oversee all general office functions: document management (flow), necessary procurement (supplies, equipment, services), and managing communication with landlords, vendors, and service companies.
  • Ensure the office is fully equipped and supplied with necessary stationery, hardware, and services for seamless operation.

3. Organizational Support and Internal Coordination

  • Coordinate internal communication and interaction between various company teams.
  • Monitor and control the execution of internal policies and operational procedures.
  • Plan and organize internal meetings, corporate events, and visits from partners or clients.

4. HR and Relocation Support

  • Assist HR and Management with the adaptation/onboarding of new employees and internal communication initiatives.
  • Provide crucial organizational support during the relocation of employees from Ukraine to Poland, including assistance with obtaining necessary documents, searching for accommodation, distributing corporate merchandise, and managing other organizational matters.
  • Monitor and ensure adherence to internal company rules, policies, and procedures.

5. Financial Reporting and Budgeting

  • Maintain basic financial and administrative reporting, including tracking office-related invoices and expenses.
  • Assist with the office budget planning and tracking.

Required Qualifications:

  • Experience: 1+ years of experience in accounting, finance, or administrative roles.
  • Education: Relevant professional education or completed courses in accounting/finance.
  • Language:English proficiency at B1 level or higher (Intermediate+).
  • Skills: Strong organizational skills, attention to detail, and a proactive approach to problem-solving.
  • Knowledge: Basic understanding of accounting principles; willingness to quickly master Polish tax and FOP regulations.

This position offers stable employment based on a umowa o pracę (Employment Contract).

Stages:


1 - Сall with Recruiter (up to 30 min)
2 - Interview with the Finance Director and Recruiter (up to 1 hour)
3 - Interview with Co-founder (up to 1 hour)
